Renew an existing permit in Application Tracker

The NHVR processes permit renewals for all permit types issued by the NHVR. For all other permit renewals (including any travel within the Northern Territory and Western Australia), you will need to apply directly to the relevant state or territory road transport authority.

  • If your original permit was issued by a state or territory road transport authority and it is for a permit type now issued by the NHVR, you are eligible to renew your current permit through the NHVR.
  • Renewal applications can be submitted for current permits and should be submitted no earlier than 6 weeks and no later than 16 days before the permit expires.
  • Renewal applications submitted earlier than 6 weeks before permit expiry may not be processed.

To assist you in managing expiring permits, the NHVR Portal will now email a reminder notification 6 weeks prior to the expiry date and then a final reminder 24 hours beforehand. If the permit has expired and travel is still required, a new application must be submitted.

Did you know you can take advantage of NHVR’s expedited renewals process if you plan ahead?

  1. Navigate to Access permits > Application Tracker from the home page via the blue tile or the side navigation bar.
  2. All saved permit applications for the active account will be listed.
  3. Select Renew button.
  4. Enter reference, click OK.
  5. A Renew Permit Application screen will open.
  6. From your existing permit, add the Issuer and Permit Expiry.
  7. If there is an existing NHVR Permit, the system will automatically find and match the Permit details from the Permit number and update the permit with existing information (i.e. vehicle and route).
  8. Complete the required details and follow the process at the top of the page.

If there is NOT an existing NHVR Permit, you will be prompted to complete the existing permit details (starting with Select Configuration button) before you complete the information on what is being amended. See below.

Renew a State or Territory Jurisdictional permit

  1. Click Select Configuration.

  2. Complete the required vehicle details for the vehicle type (these are different depending on the selected type).

  3. If there is any missing vehicle information, the incomplete sections will appear in red.

  4. Select the vehicle component tabs, complete details. Tick check box to confirm selection of the correct component for each vehicle component.

  5. Select Travel details, complete Permit Period.

  6. The Route information will be completed by NHVR after the renewal permit is submitted.

  7. Select Attachments, upload any supporting documents. If renewing a permit issued by a State or Territory Jurisdiction, you will be prompted to upload the permit in this section.

  8. Select Contacts, review information.

  9. Select Confirmation. Check the Renew Permit Application details. Complete the required declarations.

  10. Click Submit renew permit application.

  11. Complete payment.

  12. The renewal application will be sent to NHVR for processing.

Renewing your permit via the Permit Library

If your permit was issued by NHVR after 25th September 2017, you can renew your permit via the Permit Library.

  1. Navigate to Access permits > Permit library.

  2. Find and select the permit for renewal.

If there are significant changes to the permit details, this will be seen as an Amendment or New permit application and fees may apply.
